# How to create and edit tags

Tags are account-level labels, grouped into categories, that you can apply to journey maps, personas, metrics, portfolio items, and cards. You create and manage them in **Account settings > Tags**, and every workspace in the account shares the same set.

Each account starts with a default set of categories and tags, so you can edit or delete those starters as well as add your own.

#### Prerequisites

You need Admin access at the account level. Tags are managed in **Account settings**, which only Account admins can open.
{% endhint %}

{% hint style="info" icon="tag" %}
Tags are an account-level feature, shared across every workspace.
{% endhint %}

Open **Account settings** from the account name at the top of the left sidebar, then click the **Tags** tab. The **Manage tags** page lists each category with its colored icon, its tags as chips, and an edit pencil.

#### How to create a tag category and add tags

A tag is name-only and lives inside a category. The category carries the icon and color, and every tag in it inherits both. So you create the category first, then add tags to it.

{% stepper %}
{% step %}
**Open the Add tag category modal**

Click **+ Add tag category** in the top-right of the **Manage tags** page.

A Tags section below has a + Add tag link. Cancel and Save buttons sit at the bottom."><figcaption><p>Add tag category modal</p></figcaption></figure>
{% endstep %}

{% step %}
**Set the icon, color, and name**

Click the icon swatch to pick an icon, and the color swatch to pick a color. Type a name in **Tag category name**. The icon and color you choose here apply to every tag in this category.
{% endstep %}

{% step %}
**Add tags to the category**

Click **+ Add tag** and type the tag name. Repeat for each tag you want. Tags take the category's icon and color automatically, so you only enter a name.
{% endstep %}

{% step %}
**Save the category**

Click **Save**. The category appears on the **Manage tags** page with its tags as chips, ready to apply across the account.
{% endstep %}
{% endstepper %}

To add more tags to a category later, click **Add / edit tags** on that category's row. The **Add tags** modal lists the existing tags, each with a usage count, and an empty row at the bottom where you type a new one. Click **Save** when you're done.

#### How to edit a tag or category

You can rename a tag, change a category's icon, color, or name, and reorder both.

* **Rename a tag** - Click **Add / edit tags** on the category, edit the name in its row, and click **Save**. Renaming updates the tag everywhere it's applied, and items stay tagged. There's no way to merge two tags into one.
* **Edit a category** - Click the edit pencil on the category's row to change its icon, color, or name. Because tags inherit the category's icon and color, changing those updates every tag in the category.
* **Reorder** - Drag a category by the handle on the left of its row to change the order on the page. Inside the **Add tags** modal, drag a tag row by its handle to reorder tags within the category.

The Tag category section shows the icon swatch, color swatch, and the category name in an editable field, with a trash icon beside it to delete the whole category. A Tags section with a + Add tag link sits below, above Cancel and Save buttons."><figcaption><p>Edit-category modal</p></figcaption></figure>

#### How to delete a tag or category

{% hint style="danger" %}

#### **Warning: Deleting removes the tag from everywhere it's applied**

Deleting a tag strips it from every journey map, persona, metric, portfolio item, and card it's on. Deleting a category deletes every tag inside it. Neither can be undone.
{% endhint %}

* **Delete a tag** - Click **Add / edit tags** on the category, then click the delete control on the tag's row.
* **Delete a category** - Click the edit pencil on the category, then click the trash icon next to the name. This deletes the category and all of its tags.

If the tag is in use, a **Delete tag** confirmation tells you how many places it's applied before you commit. Click **Yes, delete** to remove it everywhere, or **No, cancel** to keep it.

The message reads that the tag &#x22;L1&#x22; is used 1 times, that this will remove it from all applied locations, and asks whether you are sure you want to delete it. Two buttons are shown: No, cancel and Yes, delete."><figcaption><p>Delete tag confirmation, in-use tag</p></figcaption></figure>

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://helpdesk.smaply.app/account-and-team/tags/how-to-create-and-edit-tags.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
